We respect your privacy and are committed to protecting the personal information you provide to us. This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, contact us, or engage us for coaching services.

We handle personal information in accordance with the Privacy Act 2020 and other applicable New Zealand privacy laws.

1. Information we collect

Depending on how you interact with us, we may collect information such as:

  • your name;

  • contact details, including your email address and telephone number;

  • your organisation, job title or professional details;

  • information about your use of our website, such as technical information and website activity.

We only collect personal information that is reasonably necessary for the purposes described below.

2. How we collect information

We generally collect personal information directly from you, for example when you:

  • complete a contact or enquiry form on our website;

  • email or telephone us;

  • arrange an introductory conversation;

  • engage us for coaching services; or

  • communicate with us during a coaching engagement.

We may also receive information about you from another person or organisation where this is authorised or permitted by law. For example, where a law firm arranges or sponsors coaching for one of its people, we may receive limited information from the firm that is necessary to establish and administer the coaching engagement.

Where we collect personal information indirectly, we will comply with the applicable requirements of the Privacy Act 2020.

3. Why we collect and use your information

We may collect and use your personal information to:

  • respond to your enquiries;

  • arrange introductory or coaching conversations;

  • manage appointments, billing and payments;

  • maintain appropriate business and financial records;

  • improve and administer our website and services;

  • comply with our legal and regulatory obligations; and

  • protect our rights and the security of our website and systems.

We will not use your personal information for a purpose that is unrelated to the purpose for which it was collected unless permitted by law.

4. Coaching information

Coaching conversations may involve information that is personal, sensitive or confidential in nature.

We will treat information you provide to us in the course of coaching as confidential, subject to any limits on confidentiality that are explained to you as part of your coaching engagement and any disclosure required or permitted by law.

Where coaching is arranged or paid for by an organisation, we will discuss with the organisation in advance what information, if any, may be shared with it. We will not ordinarily share the content of coaching conversations with an organisation without your agreement, except where disclosure is required or permitted by law.

The specific confidentiality arrangements applying to a coaching engagement are set out in our coaching terms.

5. Who we may share your information with

We may disclose personal information to third parties where reasonably necessary to provide our services or operate our business.

This may include:

  • service providers who assist with website hosting and administration;

  • technology and cloud service providers;

  • email, calendar and online meeting providers;

  • accounting and payment service providers;

  • professional advisers, where necessary; and

  • government agencies or other persons where we are required or permitted to do so by law.

We take reasonable steps to ensure that third parties who handle personal information on our behalf do so appropriately and consistently with applicable privacy requirements.

We do not sell or rent your personal information.

6. Overseas storage and disclosure

Some of the technology and service providers we use may store or process information outside New Zealand.

Where personal information is disclosed or made accessible outside New Zealand, we will take reasonable steps to ensure that the disclosure is permitted under the Privacy Act 2020.

7. Website analytics and cookies

Our website may use cookies and similar technologies to enable the website to function properly, understand how visitors use the website and improve the website.

We may use third-party services such as website analytics providers for these purposes.

You can adjust your browser settings to refuse or restrict cookies, although this may affect how some parts of the website function.

8. Security

We take reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration or destruction.

We use appropriate technical and organisational safeguards having regard to the nature of the information we hold and the risks associated with its use.

However, no method of electronic transmission or storage can be guaranteed to be completely secure.

9. How long we keep information

We retain personal information only for as long as it is reasonably required for the purposes for which it was collected, or for as long as we are required to keep it by law. Our coaching session notes are deleted when the work ends, and financial records are kept for seven years.

When personal information is no longer required, we will take reasonable steps to securely delete or dispose of it.

10. Accessing and correcting your information

You have the right to request access to personal information we hold about you and to ask us to correct information that is inaccurate.

If you would like to access or correct your personal information, please contact us using the details below.

We may need to verify your identity before providing access to personal information.

11. If you choose not to provide information

You are generally not required to provide personal information to us.

However, if you choose not to provide information that is reasonably necessary for us to respond to an enquiry or provide coaching services, we may not be able to provide those services or respond fully to your request.

12. Privacy breaches

If we become aware of a privacy breach that has caused, or is likely to cause, serious harm to an affected individual, we will assess and respond to the breach in accordance with our obligations under the Privacy Act 2020, including notifying the Privacy Commissioner and affected individuals where required.
